2025-26 Academic Year
As per our check-in process, please let us know in advance when you are expecting to arrive at urbanest by selecting your expected arrival slot on your urbanest Portal.
To do this, simply:
Log in to your portal
Complete your Online Check-In (if you have not done so already)
Return to your portal homepage
Pick your arrival slot.
Please note that arrival slots are strictly limited, and availability is first-come, first-served.
Rescheduling Your Arrival Time
If your plans change and you need to change your arrival time, just log back into your portal and select a new time. If the time and date is not available send a message to [email protected], and a team member will be able to help you.
University Bookings
If you’ve booked your room through your university—such as UCL, NYU, KCL, or via another university nomination—please arrange your arrival time slot directly with your university.
What if my flight is delayed?
Not a problem! We understand there can be travel delays and to make your check-in experience easier our teams are based on-site 24/7 to help you.
During our busy September period you may need to wait a short while to be checked-in. Just make sure to have your passport handy for the verification checks, this will make for a speedier check-in process.
What if there's not my preferred time slot remaining?
If there isn't your preferred arrival slot remaining, that means we have reached our capacity for check-in on that date/time. If this is the case, you should pick the next available time that will work for you.
Please note that this only applies in September when arrivals are busy.
Can I book an early arrival?
Due to the short space of time between our 2025-26 customers departing and our 2026-27 customer arriving, we are unable to offer early arrivals.
Mid-Year or Summer Arrivals
If you are arriving outside of September or October, e.g., in January, you are welcome to book an arrival slot, but it is not essential. Our team will be happy to welcome you when you arrive.
