To help us prepare for your arrival, please let us know when you expect to check in by selecting an arrival slot on your urbanest Portal. Arrival times help us manage lift access and queues during busy periods.
When arrival slots are released
If you booked directly with urbanest, arrival slots for the main September arrival period are usually released in August. We will email you as soon as they are available to book.
How to book your arrival time
Log in to your portal
Complete your Online Check-In, if you have not already (this opens 28 days before your arrival)
Return to your portal homepage
Select your preferred arrival slot
Arrival slots are limited and offered on a first come, first served basis, so we recommend booking early and choosing your estimated time of arrival.
Rescheduling your arrival time
If your plans change, you can log back into your portal and select a new arrival time or date.
If your preferred time or date is not shown, please send us a message via live chat and a member of the team will be happy to help.
University bookings
If you booked your room through your university, such as UCL, KCL or another partner institution, please arrange your arrival time directly with your university accommodation team.
What if my flight is delayed?
Travel delays happen, and our teams are on site 24/7 to welcome you whenever you arrive.
During the busy September period you may need to wait a short time to be checked in. Having your original photo ID ready (for example, your passport) will help speed things up. Please note we can only accept original documents for identity checks, not copies or photos on your phone.
What if my preferred time slot is not available?
If your preferred time is not listed, that slot has reached capacity. Please select the next available slot that works for you. This only applies during the busy September arrival period.
Can I arrive before my tenancy start date?
Your room will be ready from your tenancy start date. Because of the short turnaround between residents moving out and new residents arriving, we are not able to offer early arrivals.
If you booked through your university, any early arrival requests should go to your university accommodation team.
Arriving outside the main September period
If you are arriving at another point in the year, for example between January and July, you are welcome to book an arrival slot but it is not essential. Check-ins are from 3pm on or after your tenancy start date, and our team will be happy to welcome you when you arrive.
